Wedding Policies at a Glance

Our wedding policies are designed to steward our campus spaces while helping create a celebration marked by beauty, meaning, and joy. Couples receive the complete Wedding Policies and Guidelines when they meet with the Campus Services Coordinator.

Reservations and Payment

A nonrefundable deposit of $500 is due upon the singing of the contact. The remaining balance and any additional fees are due 60 days prior to the wedding date. This balance is nonrefundable if the wedding is cancelled within 30 days of the scheduled ceremony.

Submitting a Wedding Inquiry Form does not reserve a date or venue. Reservations are confirmed only after the required university approvals, agreements, and deposit have been received.

Cancellations

If your plans change, please contact the Campus Services Coordinator as soon as possible.

  • More than six months before the wedding: All fees will be refunded, excluding the nonrefundable deposit.
  • Two to six months before the wedding: 50% of fees will be refunded, excluding the nonrefundable deposit.
  • Fewer than 30 days before the wedding: No refund will be issued.

Reservation Times

A ceremony reservation generally includes four hours for setup, the ceremony, photography, and cleanup. Couples hosting both their ceremony and reception on campus must reserve a full-day, eight-hour rental.

Rehearsal times are arranged with the Campus Services Coordinator based on campus and venue availability. All decorations, equipment, and personal belongings must be removed by the end of the reservation period.

Care and Use of Campus Spaces

Wedding parties, guests, and vendors are expected to treat university facilities with care and to celebrate in a manner that honors the dignity of the occasion. Weddings in Samuelson Chapel must also respect the sacred character of the space.

University staff may enforce campus policies and facility requirements throughout the event.

Planning and Coordination

The Campus Services Coordinator assists with venue availability, facility tours, agreements, fees, approved vendors, equipment, and facility logistics.

Couples meet with the Campus Pastor for a pastoral and exploratory conversation about their hopes for the ceremony, including its tone, traditions, and presider. This meeting does not require couples to select the Campus Pastor as their officiant.

Each couple must designate a day-of wedding coordinator to serve as the primary point of contact for the wedding party, vendors, and Campus Services Coordinator. This person oversees decorations, welcomes and directs vendors, guides the wedding party, and helps keep the rehearsal and wedding on schedule.

Officiants and Ceremony Leaders

The Campus Pastor is available to officiate based on availability. Campus Pastor wedding services include premarital preparation, ceremony planning, rehearsal leadership, officiating, and completion of the presider’s portion of the marriage license. An additional fee applies.

Couples may invite another qualified officiant or ceremony leader, subject to review and approval by the Campus Pastor.

Music and Audiovisual Support

Couples holding their ceremony in Samuelson Chapel may engage a university-approved organist or pianist. Outside organists and pianists must be reviewed and authorized before using the chapel organ and piano.

Professional audiovisual support is required for weddings, and an additional fee applies. Music, equipment, and technical arrangements must be coordinated in advance with university staff.

Decorations

Couples may arrange flowers and other approved decorations within venue guidelines. Aisle runners are not permitted. Furniture, instruments, and university equipment may not be moved without prior approval.

All decorations must be removed, and the venue returned to its original condition, by the end of the reservation period.

Photography and Videography

Professional photography and videography are welcome within university and venue guidelines.

Cal Lutheran will request the couple’s permission before using wedding photographs for university promotional purposes.
